Terms and Conditions of Hire
Effective Date: 22 May 2025

 

These Terms and Conditions apply to all bookings made with CJB Entertainment, including but not limited to DJ hire, selfie pod rental, and 360 video booth services. By booking with us, you agree to the following terms in full.
 

1. Definitions

  • "Company" means CJB Entertainment.

  • "Client" means the person or organisation booking the services.

  • "Services" refers to the DJ hire, selfie pod and 360 video booth hire provided by CJB Entertainment.

  • "Event" means the function, party, wedding or other occasion at which the services will be provided.
     

2. Booking & Payment Terms

  • A 20% non-refundable deposit is required to secure your booking.

  • The remaining balance is due no later than 7 days before the event date.

  • Bookings made within 7 days of the event require full payment upfront.

  • Failure to pay in full by the due date may result in cancellation, with no refund of any payments made.
     

3. Cancellations

  • Cancellations must be sent in writing via email to info@cjb-entertainment.co.uk.

  • Cancellations made more than 6 weeks before the event will result in loss of the deposit only.

  • Cancellations made within 6 weeks of the event require payment of the full booking amount.

  • No refunds will be given for services not used on the day of the event.
     

4. Service Delivery

  • CJB Entertainment will provide the agreed services at the location, date and time confirmed in writing.

  • Setup and breakdown times will be arranged in advance and are not included in the service duration.

  • It is the Client’s responsibility to ensure the venue allows sufficient access and time for setup and takedown.
     

5. Venue & Equipment Requirements

The Client must ensure:

  • A suitable, flat indoor space is available (minimum 2m x 2m for selife pods).

  • A suitable, flat indoor space is available (minimum 5m x 5m for 360 video booth)

  • Access to standard 13 amp power sockets within 5 metres of the setup area.

  • That the venue has no restrictions on noise, equipment use, or photography/filming.

  • All equipment is protected from damage, especially in outdoor or marquee setups.
     

6. Damage, Loss & Conduct

6.1 Client responsibility
The Client accepts full responsibility for any damage, loss or theft of the Company’s equipment (including props and ancillary items) from the moment the equipment is delivered until it is removed from the venue. Responsibility extends to damage caused by the Client, guests, venue staff, third-party suppliers and any other person present at the Event 

6.2 Prohibited actions
The Client shall ensure that:

  • No food, drink or liquids are placed on or within one metre of any equipment

  • Children are supervised at all times

  • Smoke, haze, bubble or pyrotechnic machines are not used near the equipment without the Company’s prior written consent

  • The equipment is not repositioned once installed unless a Company representative carries out the move.

6.3 Repair or replacement costs
Where equipment is damaged, the Client will pay:

  • The full cost of repair by an authorised technician, including parts, labour and courier fees, or

  • The full replacement cost at current market value if the equipment is deemed beyond economic repair or is lost or stolen
    If repairs cannot be completed before the Company’s next booking, the Client will also cover the cost of hiring equivalent replacement equipment and any associated delivery or collection charges 

6.4 Props and accessories
Missing or damaged props and accessories will be charged to the Client at their replacement cost plus a £10 administration and postage fee per item set

6.5 Downtime compensation
Where misuse or negligence causes equipment failure during the Event, no refund will be offered for the lost operating time. If the failure results in cancellation of part or all of a subsequent booking, the Client will compensate the Company for the lost revenue up to a maximum of the hire fee for that subsequent booking.

6.6 Safety and behaviour
The Company reserves the right to cease operation and remove equipment if, in the opinion of its staff, the safety of attendees, the equipment or Company personnel is at risk through damage, misuse, unruly behaviour or adverse environmental conditions. In such circumstances no refund will be given and the Client remains liable for any damage costs incurred.

6.7 Insurance and indemnity
The Client is strongly advised to obtain adequate event insurance that covers accidental damage to hired equipment and public liability. The Client agrees to indemnify and hold harmless the Company, its employees and agents against any and all claims, losses or expenses (including legal fees) arising from damage to the equipment or injury to persons resulting from misuse, negligence or failure to follow the Company’s instructions.

7. Use of Media

  • CJB Entertainment may use photos and videos taken during the event for promotional purposes, including social media and website use.

  • If the Client does not consent to this, they must inform the Company in writing prior to the event.
     

8. Liability

  • CJB Entertainment holds full Public Liability Insurance.

  • All electrical equipment is PAT tested.

  • The Company is not responsible for:

    • Venue restrictions or access issues

    • Equipment failure due to power outages or unsuitable venues

    • Delays caused by external factors beyond our control

  • The Company’s total liability shall not exceed the amount paid for the hire.
     

9. Force Majeure

CJB Entertainment is not liable for any failure to deliver services due to events beyond its control, including but not limited to:

  • Natural disasters

  • Fire, flood, or extreme weather

  • Power outages

  • Acts of terrorism or government restrictions

  • Transport disruptions or illness
     

10. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be settled under the exclusive jurisdiction of the courts of England and Wales.
